Roles and permissions explained

An overview of each role in Breadcrumb, Administrator, Site Manager, Foreman and Worker, and what each one can see and do.


Everyone who uses Breadcrumb falls into one of four roles: Administrator, Site Manager, Foreman, or Worker. Your role decides which sites you can see, whether you can use the web portal, and what you can change.

This article explains what each role can see and do so that you can give people the right level of access from day one.

Permissions: Only Company Hosts can view and assign permissions to other users.

"With permission" means the person needs that specific permission ticked on their role or user profile. 


 

Administrator

Administrators look after Breadcrumb for the whole company. In Breadcrumb they're set up as Company Hosts, which gives them access to:

  • All sites, including site settings, site suppliers and site assets
  • The Inductions editor, to edit every induction form and its settings
  • The Forms editor, to edit every form and its settings
  • Company Settings, including who has access and what they can do
  • Integration settings, to manage the Procore integration and force a manual sync

Administrators are usually office-based. It's the role for the people who set sites up before workers arrive, not the people running the site day to day.

Some tasks are Administrator-only. Only Company Hosts can add site-specific inductions to a site, edit supplier details at company level, and assign permissions to other users.


 

Site Manager

Site Managers run one or more sites. In Breadcrumb they're set up as Site Hosts. This role also suits Contract Administrators, Project Managers and anyone else in an operational role on site.

Site Managers can see and manage the specific sites they've been added to, either manually or through the Procore integration. That includes site settings, site suppliers and site assets for those sites.

Site Managers can't access:

  • The Inductions editor
  • The Forms editor
  • Company Settings
  • Integration settings

Within their sites, what a Site Manager can do depends on the permissions they've been given. For example, checking workers in and out, sending site alerts, approving inductions and permits, or viewing reports and the User Directory.


 

Foreman

A Foreman represents a subcontractor's crew at a site. Foreman isn't a separate login. A Site Manager or Administrator nominates an existing worker as the foreman for their subcontractor company at a particular site.

Once nominated, a foreman can use the mobile app to:

  • Add their crew to permits and generic forms with one tap, rather than typing names into free-text fields
  • Capture crew signatures by handing their device to each crew member to sign
  • See their crew on site from the Crew tile, including who is checked in or out
  • Check their crew in and out, but only if your company has turned this on

Things to know about foremen

  • Foreman status is per site. If someone is a foreman on three sites, they need to be nominated at each one.
  • Crew must be from the same subcontractor. A foreman can't add workers from other companies.
  • Inductions, SWMS and site briefings stay individual. Each worker still completes and acknowledges these themselves. A foreman can't do it on their behalf.
  • Every action is logged. Crew added to a permit, form or attendance record show the foreman's name and a timestamp.
  • The foreman feature needs to be turned on for your account. Talk to your Customer Success Manager to get it set up.

 

Worker

Workers are everyone who checks in to your sites, including your own team and your subbies. Workers use the Breadcrumb mobile app and don't have access to the web portal.

Workers can:

  • Check themselves in and out of site
  • Complete site inductions
  • Acknowledge SWMS and site briefings
  • Apply for permits and complete forms your company has set up for them

Workers only see the sites they check in to. They can't see other workers' details or change any site or company settings.


 

How permissions shape each role

Company Host and Site Host decide where someone has access: every site, or just their sites. Permissions decide what they can do once they're there.

You can give permissions in two ways:

  • Role-based permissions. Create a role, such as Site Manager or Contract Administrator, tick the permissions it needs, then assign people to it. This is the recommended approach because everyone in the same job gets the same access.
  • Individual user permissions. Tick permissions for one person. Useful for one-off exceptions.

If you use Procore, your project roles can sync across to Breadcrumb automatically. You'll still need to set the permissions for each synced role in Breadcrumb.
