Initial Procore integration setup guide
End-to-end steps to connect your Breadcrumb account to Procore for the first time.
Connecting Breadcrumb to Procore means your projects, companies and users flow into Breadcrumb automatically, and your site records flow back into Procore. Attendance hours land in your Site Diary, and documents such as inductions, permits and approved company documents are saved to Procore Documents.
Setup takes about 30 minutes. You'll do most of it in Procore, then switch the integration on in Breadcrumb. We recommend doing it on a call with your Breadcrumb Customer Success Manager.
Before you start
- In Breadcrumb: You need Company Host permissions.
- In Procore: You need Admin permissions, and your company needs a Procore enterprise subscription.
What syncs
- From Procore to Breadcrumb: Projects (as sites), companies and users.
- From Breadcrumb to Procore: Worker attendance (to the Site Diary) and documents (to the Documents tool).
The integration syncs automatically every hour. You can also run a sync manually.
Step 1: Install Breadcrumb from the Procore Marketplace
- In Procore, open Apps in the top right header, then Select an App > Marketplace.
- Search for Breadcrumb and select it.
- Click Install App and confirm.
Step 2: Create a permissions template
This controls what Breadcrumb can read and write in your Procore projects.
- In Procore, go to Company Tools > Permissions.
- Open the Project Permissions Templates tab and create a new template, for example "Breadcrumb Project Permissions Template".
- Set the permissions:
- Directory: Read Only, with all options turned on.
- Documents: Admin. This lets Breadcrumb save records to the Documents tool.
- Daily Log / Site Diary (and Timecards, if listed): Admin. This lets Breadcrumb sync attendance.
- All other tools: None.
- Save the template.
Step 3: Apply the template to your projects
Installing Breadcrumb adds a service account to your Procore directory. Give it your new template on every project.
- In Procore, go to Company Tools > Directory.
- Search for dmsa and click Edit next to the Breadcrumb service account.
- Under Project Settings, click Select Default Template and choose the template you created.
- Tick the options to add this account to new projects automatically.
- Under Current Project Settings, click Remove All, then add all projects from the list of projects it doesn't belong to.
- Save your changes.
This can take a few minutes if you have a lot of projects.
Step 4: Check your Site Diary fields
If your Daily Log has custom fields set as mandatory, Breadcrumb can't submit attendance to it. In Procore, go to Company Tools > Admin > Daily Log > Fieldsets and make sure no custom fields are mandatory.
Step 5: Turn on the integration in Breadcrumb
- Log in to Breadcrumb on web.
- Click your name or company name in the header and select Integration.
- Turn the integration to Active.
- Set the integration mode to Marketplace (DMSA).
- Click Authorize on Procore and choose Allow when Procore asks.
Then work through the remaining integration settings with your Customer Success Manager, such as which Procore company to link and how documents are organised in Procore.
Good to know
- Subcontractors need an ABN in Procore: Companies only come through to Breadcrumb if they have an ABN in your Procore directory. If two companies share an ABN, only the first one comes through.
- Matching phone numbers: Your team's Breadcrumb permissions are matched to their Procore roles using their mobile number, so make sure each person uses the same number in both.
- Projects not coming through? Check that the Breadcrumb service account has been added to the project in Procore (Step 3).
- Where documents go: Records are saved in a Breadcrumb folder in each project's Documents tool, usually organised by subcontractor.
