How do PDF reports push into Procore’s documents tool?

Explains how Breadcrumb reports and documents are sent through to Procore's Documents tool.

When Breadcrumb is connected to Procore, the records you collect on site are sent to the Documents tool in the matching Procore project. You don't need to download or upload anything. Your inductions, permits, site briefings and subcontractor documents are saved alongside the rest of your project files.

What gets sent

You choose which types of records are sent. The options are:

  • User Inductions: Completed worker inductions.
  • Site Briefings: Toolbox talks, pre-starts and other site briefings.
  • Supplier Documents: Subcontractor documents such as SWMS, SDS, insurances and other documents.
  • Generic Forms: Other forms completed in Breadcrumb.
  • Permits: Permit records.
  • Site Assets: Plant and equipment records.
  • Evacuations: Evacuation and drill records.

When records are sent

Records are sent to Procore overnight, once a day. A record completed today will usually appear in Procore the next morning.

Where to find them in Procore

In each Procore project, open the Documents tool. Breadcrumb creates a Breadcrumb folder there automatically once the first records are sent. Inside it, records are organised by subcontractor or by record type, depending on your settings.

Choose what's sent and how it's organised

You need Company Host permissions with Has All Permissions to change these settings.

  1. Log in to Breadcrumb on web.
  2. Click your name in the top right corner and select Integrations.
  3. Open the Procore Integration tab and scroll to Export Documents.
  4. Turn on each type of record you want sent to Procore.
  5. Choose your Export Folder Template and folder access (see below).
  6. Click Save Changes.

Export Folder Template

  • Grouped by Supplier: A folder for each subcontractor, with their records sorted by type inside it. We recommend this option.
  • Grouped by Feature: A folder for each record type, such as Inductions or Permits, with a folder for each subcontractor inside it.

Folder access

  • Public: Anyone with access to the Documents tool on that Procore project can see the records.
  • Private: Only people with permission to view private documents in Procore can see the records. Choose this if subcontractors or other external users have access to your Procore projects.

Good to know

  • The project needs to be connected: Records are only sent for sites linked to a Procore project. If a project's records aren't coming through, check that the Breadcrumb service account has been added to that project in Procore.
  • Procore needs Documents access: The Breadcrumb permissions template in Procore needs Admin access to the Documents tool.
  • Don't rename the Breadcrumb folder: If the folder name is changed in Procore, a new folder may be created for records that haven't been sent yet.
