How do inductions work in Breadcrumb?
An overview of how induction forms are assigned, completed, and tracked.
Inductions in Breadcrumb replace paper induction forms. Workers complete them on their phone, either before they arrive or when they check in, and you get a digital record of who has been inducted, when, and what they answered.
This article explains how inductions are set up, how workers complete them, and how you approve and track them.
1. Your company sets up the induction
Company Hosts build induction forms in the web portal. An induction can include questions, safety documents or videos workers must view, and requests for workers to upload documents such as their licences or tickets.
Each induction has a few settings that decide how it works on your sites:
- Type: A Site Specific induction only applies to the sites it's added to. A Company wide induction applies across all your company's sites, so a worker completes it the first time they visit any of them.
- Mandatory or optional: If an induction is mandatory, workers must complete it before they can check in.
- Who it applies to: You can limit an induction to certain visitor types. For example, a full site induction for subcontractors and employees, and a shorter visitor induction for visitors.
- When it's completed: Anytime, at Check-in, Pre Check-in or Offsite. This controls whether workers can do it before they arrive or only when they check in.
- Expiry: How long an induction stays valid, from the end of the day to a custom period such as 365 days, or no expiry.
- Approval: Whether a host needs to approve each completed induction, or it's accepted automatically.
Most companies set these up once with their Breadcrumb team during onboarding, then reuse them on every site.
2. Workers complete the induction
Workers can complete an induction in two ways:
- Before they arrive: If offsite inductions are turned on, workers get a link or QR code, often included in the onboarding email sent to their company. They complete the induction in advance, so check-in on the day is quick.
- When they check in: Workers check in to your site in the Breadcrumb app, by scanning the site QR code, or at a site kiosk. Any induction they still need appears as part of check-in.
Workers answer the questions, view any required documents, upload anything requested, then submit.
3. A host reviews the induction
If your induction uses host approval, each submitted induction waits as pending until a host reviews it. The host can:
- Approve it, so the worker is inducted.
- Reject it with comments, for example if a licence photo is unreadable.
- Request a revision, asking the worker to fix specific answers and resubmit.
Your company decides whether workers with a pending induction can still check in, or must wait for approval.
4. Track who is inducted
Every completed induction is saved with its answers, uploads and status. You can see them in two places on web:
- The site's Inductions register: Every induction submitted for the site, with its status. Use it to find pending inductions or check a specific worker.
- The worker's profile: Open a worker from the site's People tab and click Inductions to see what they've completed.
You can download any induction as a PDF. If your company is connected to Procore, completed inductions are also saved to Procore Documents.
5. Inductions expire and renew
When an induction reaches its expiry date, the worker needs to complete it again. If it's mandatory, they'll be asked to redo it at their next check-in.
For yearly inductions, a custom expiry of 365 days usually works better than "end of the year". Otherwise everyone's induction expires on 31 December and you get a rush of re-inductions in January.
