How do I view which documents (e.g. SWMS) a worker has signed?
Confirming that a specific worker has read and acknowledged the required documents.
When a subcontractor's SWMS is approved and set up for sign-off, workers read and sign it when they check in to your site. You can check who has signed in two ways: start from the document to see everyone who signed it, or start from the worker to see their records.
Before you start
- Access: You need to be a Company Host or Site Host for the site. If you don't have access, contact your Breadcrumb administrator.
- Sign-off must be turned on: Signatures are only collected for document types that are set up for worker sign-off. If a document type doesn't require sign-off, you won't see a list of signatures for it.
- Approved documents only: Workers can only sign a document once it's approved. Pending or rejected documents have no signatures.
See everyone who signed a document
Use this when you want to confirm a whole crew has signed a SWMS.
- Click Sites in the left-hand menu and open your site.
- Click the Company Docs tab.
- Search or filter to find the document, such as the subcontractor's SWMS.
- Click the document to open it.
- Scroll to the sign-off section to see each worker who has signed and when.

See a worker's records
Use this when you need to check one person, for example after an incident or before they start a task.
- Click Sites in the left-hand menu and open your site.
- Click the People tab.
- Search for the worker and click their name to open their profile.
- Click the Company docs tab to see the documents for their company on your site.
Other tabs on the worker profile
- Form submissions: Forms the worker has completed or signed.
- Inductions: Inductions they've submitted and their status.
- Attendance: When they checked in and out, so you can match a signature to a visit.
Good to know
- New versions need new signatures: When a subcontractor uploads an updated SWMS and it's approved, workers sign the new version at their next check-in. Check the version you're looking at when confirming a signature.
- Optional or mandatory sign-off: If sign-off is mandatory, workers can't check in until they sign. If it's optional, workers can check in without signing, so not everyone on site may appear in the sign-off list.
- Expired documents: When a document reaches its expiry date it becomes inactive and workers can no longer sign it.
