How do I upload a document (e.g. SWMS or SDS) on behalf of a subcontractor?
Manually adding a document when a subcontractor is unable to submit it themselves.
Subcontractors normally upload their own SWMS, SDS and other safety documents. If a subcontractor can't do it themselves, for example they've emailed you a PDF or handed over a paper copy on site, you can upload it for them.
Before you start
- Access: You need to be a Company Host or Site Host for the site. If you don't have access, contact your Breadcrumb administrator.
- The subcontractor must be on your site: The company needs to be listed on the site's Companies tab before you can upload a document for them.
- Have the file ready: A PDF works best. On mobile you can also take a photo of a paper copy.
Upload a document on web
- Click Sites in the left-hand menu and open your site.
- Click the Companies tab.
- Find the subcontractor and open the action menu at the end of their row.
- Click Upload document. This opens the document upload page for that subcontractor.
- Click Browse and select the file from your computer.
- Fill in the document details (see below), then click Submit.
Document details
- Title: The name workers and hosts will see, for example "Electrical works SWMS".
- Date: The version date of the document.
- Expiry date: Required for document types such as SDS and insurance.
- Document kind: The type of document, for example SWMS or SDS. This decides who can see it and whether workers need to sign it.
Upload a document in the mobile app
- Open the Breadcrumb app and tap Host in the bottom right.
- Check you're on the right site. Tap Change Site if you need to switch.
- Tap the Suppliers tile and search for the subcontractor.
- Tap Add New Document, then Upload File.
- Choose Camera to photograph a paper copy, Photo to use an image, or File to upload a PDF.
- Fill in the title, date, expiry date and document kind.
- Tap Upload Document.
What happens next
The document goes through the same review process as one the subcontractor uploaded themselves. If your company requires approval for that document type, it shows as pending until a host reviews it. Workers can only view or sign it once it's accepted.
To check its status, open your site and click the Company Docs tab.
Good to know
- Pick the right document kind: Choosing the wrong kind can change who can see the document and whether workers are asked to sign it at check-in.
- Encourage self-service next time: You can send the subcontractor an invite from the Companies tab so they can upload future documents themselves.
