How do I sync projects from Procore to Breadcrumb?

Pulling existing Procore projects into Breadcrumb as sites.

Once the Procore integration is connected, your existing Procore projects can come across to Breadcrumb as sites. Procore stays the source of truth: you set the project up in Procore, and Breadcrumb creates the matching site using your default site template.

When a project syncs, its suppliers and project team come across with it, so you don't need to set the site up twice.

Before you start

  • Procore integration: the integration must already be connected between your Procore company and Breadcrumb.
  • Import Sites: this setting must be turned on in your Breadcrumb Procore integration settings, with a site template selected.
  • Access: you'll need admin access in Procore to edit project details and the company directory.

Tip: Every synced project uses the same site template, so get the template right before you start syncing. You can still change settings on individual sites afterwards.

Step 1: Check the project details in Procore

A project won't sync unless these three fields are filled in. In Procore, open the project and go to Project Tools > Admin, then check:

  1. Project Number: must be unique. No other project in your Procore company can use the same number.
  2. Address: must be a real, valid address so the site can be located.
  3. Completion Date: must be in the future.

Save your changes.

Step 2: Add the project to the Breadcrumb service account

Breadcrumb connects to Procore through a service account called 1breadcrumb-dmsa-786bba23. A project only syncs once this account has been added to it.

  1. In Procore, go to Company Tools > Directory.
  2. Search for 1breadcrumb-dmsa-786bba23 and click Edit.
  3. Scroll to the list of projects this user Does Not Belong To.
  4. Click Add next to each project you want in Breadcrumb, or Add All to bring them all across.
  5. Click Save.

Added projects move to the user's Current Projects list.

Important: Don't delete or deactivate the 1breadcrumb-dmsa-786bba23 user. It's what keeps the integration running, and removing it stops all syncing.

Sync new projects automatically

To skip Step 2 for every future project, you can have Procore add the service account to new projects as they're created.

  1. On the same edit screen for 1breadcrumb-dmsa-786bba23, scroll to New Project Settings.
  2. Tick Add "1breadcrumb-dmsa-786bba23" to all new projects.
  3. Click Save.

With this on, every new Procore project comes across to Breadcrumb, whatever stage it's at. If you only want some projects in Breadcrumb, leave it unticked and add projects one at a time.

Step 3: Let the sync run

New projects usually appear in Breadcrumb within 2 to 3 hours. Synced sites show a Procore logo, so you can tell them apart from sites created in Breadcrumb.

If you don't want to wait for the next scheduled sync, an admin can click Sync As Soon As Possible on the Procore integration settings page. This queues the project for the next sync run.

Changing a project number after it syncs

Breadcrumb matches each site to its Procore project using the project number, which shows as the site reference in Breadcrumb. If the project number changes in Procore, Breadcrumb treats it as a new project and creates a duplicate site.

Data on a duplicate site can't be merged back. Supplier documents would need to be moved across by hand, and workers would need to complete their inductions again on the correct site.

If you need to change a project number, update the site reference in Breadcrumb to the new number first, then make the change in Procore.

Project not showing up?

Check in Procore

  • Does the project have a unique Project Number?
  • Is the address filled in and valid?
  • Is the Completion Date in the future?
  • Is the project in the Current Projects list for 1breadcrumb-dmsa-786bba23?

Check in Breadcrumb

  • Is Import Sites still turned on, with a site template selected?
  • Has the site been archived?
  • Is another site already using the same site reference?
  • Go to Integrations and click Check Permissions. Linked projects show a paperclip icon next to the project name. If the paperclip is missing, the project hasn't been added to the service account in Procore.
