How do I sync projects from AutoDesk to Breadcrumb?

Pulling existing Autodesk projects into Breadcrumb as sites.

Once your Autodesk Forma (formerly Autodesk Construction Cloud) account is connected to Breadcrumb, you choose which projects sync by adding the Breadcrumb Dev member to them in Autodesk. Each project you add is created as a site in Breadcrumb, so you don't need to set it up twice.

This article covers bringing existing Autodesk projects across, setting up new projects to sync automatically, and linking a project to a site you already run in Breadcrumb.

Before you start

  • Your Autodesk account is connected. If it isn't, start with the initial Autodesk integration setup guide.
  • Breadcrumb Dev has a role with the right access. The role needs Project Administrator access and access to Build. This is set up during the initial setup, usually as a role called something like Dev Role.
  • Your projects have a name, number and address in Autodesk. These are used to create the site in Breadcrumb.
  • You've checked for duplicate companies. Companies on each project come across too, so clean up any duplicates in Hub Admin > Companies first.

What syncs

When a project syncs, Breadcrumb creates a site using the project's:

  • Name
  • Number
  • Address

Companies added to the project in Project Admin > Companies are added to that site's supplier list in Breadcrumb. Project members who meet the sync conditions come across as Site Hosts.

Only projects with Breadcrumb Dev as a project member will sync. Adding Breadcrumb Dev at the hub level is not enough on its own.

Sync an existing project

Who: your Autodesk admin

Repeat these steps for each project you want to bring into Breadcrumb.

Add Breadcrumb Dev to the project

  1. Open the project in Autodesk and go to Project Admin > Members.
  2. Click Add members, search for Breadcrumb Dev and add it.
  3. Check that its role carries over, with Project Administrator access and access to Build.
  4. Save.

Give Breadcrumb Dev access to the Daily Report

This lets Breadcrumb post worker hours into the project's Daily Report. The project will still sync without it, but hours won't come across.

  1. In the same project, go to Build > Forms > Templates and open your Daily Report template.
  2. Set the contributor collaboration mode to Collaborative.
  3. Add the Breadcrumb Dev role to the Edit, View and Manage dropdowns, then save.

The project will appear as a site in Breadcrumb on the next sync.

Sync new projects automatically

Who: your Autodesk admin

Add Breadcrumb Dev to your project template once, and every new project created from it will sync without any extra steps.

  1. Go to Hub Admin > Project Templates and select your template.
  2. Open Project Members (not Template Members) and add Breadcrumb Dev. Check that its role carries over.
  3. Still in the template, go to Build > Forms and open your Daily Report template.
  4. Set the contributor collaboration mode to Collaborative.
  5. Add the Breadcrumb Dev role to the Edit, View and Manage dropdowns, then save.

If you use more than one project template, repeat this for each one. Projects created before you updated the template still need to be added one at a time, as above.

Link a project to a site already in Breadcrumb

Who: your Autodesk admin and your Breadcrumb company admin

If a site was already running in Breadcrumb before you connected Autodesk, link it to the matching Autodesk project. This stops a second copy of the site being created.

  1. Make sure the project name and number match in Autodesk and Breadcrumb.
  2. In Autodesk, add Breadcrumb Dev to the project and give it access to the Daily Report, as above.
  3. Open the project in Autodesk and copy the project ID from your browser's address bar. It's the long string of letters and numbers after /projects/.
  4. In Breadcrumb, go to Sites and open the site.
  5. Go to Advanced Settings > Manage Identifiers.
  6. Paste the Autodesk project ID into the Project GUID field and save.

If you have a lot of sites to link, contact your CSM before you start.

Troubleshooting

A project hasn't appeared in Breadcrumb

  • Breadcrumb Dev isn't a member of the project. Check Project Admin > Members.
  • Breadcrumb Dev's role on the project doesn't have Project Administrator access or access to Build.
  • The project was created from a template that doesn't include Breadcrumb Dev. Add it to the project directly.
  • The project was only just added. Give it time to come across on the next sync.

The same site appears twice in Breadcrumb

The site existed in Breadcrumb before the project synced and the two weren't linked. Contact your CSM to tidy up the duplicate, and link any remaining sites first using the steps above.

Worker hours aren't appearing in the Daily Report

  • The Breadcrumb Dev role is missing from the Edit, View or Manage dropdowns on the project's Daily Report template.
  • The Daily Report has been closed. It must stay in In Progress status for Breadcrumb to keep updating it.
  • The project uses a different Daily Report template from the one selected in Breadcrumb.
