How do I sync companies from Procore to Breadcrumb?
Pulling your Procore company directory into Breadcrumb.
Once the Procore integration is connected, the subcontractors in your Procore company directory can come across to Breadcrumb as suppliers. You keep managing companies in Procore, and Breadcrumb keeps its supplier directory in step.
Companies sync at two levels:
- Company Directory in Procore comes across to your Supplier Directory in Breadcrumb.
- Project Directory in Procore comes across to the suppliers on each site in Breadcrumb.
Before you start
- Procore integration: The integration must already be connected between your Procore company and Breadcrumb.
- Access: You'll need admin access in Procore to edit the company directory, and admin access in Breadcrumb to change integration settings.
Step 1: Give every company a unique identifier in Procore
Breadcrumb matches each Procore company to a supplier using a single number. If that number is blank, or shared by two companies, the company won't sync.
- In Procore, go to Company Tools > Directory > Companies.
- Open each subcontractor and fill in their identifier:
- Australian companies: enter their ABN.
- New Zealand companies: enter a unique number in the License Number field.
- Save.
Each number only needs to be unique within your Procore directory. Breadcrumb doesn't check it against the ABN register.
Can't see the ABN field? It may need to be turned on in your Procore account. Your Procore admin can add it, or you can contact Procore Support.
Fixing a large directory in bulk
If you have lots of companies with missing or duplicate numbers, it's quicker to fix them all at once:
- Export your Company Directory from Procore to a spreadsheet.
- Fill in or correct the ABN or License Number for each company, removing any duplicates and blanks.
- Re-import the spreadsheet using Procore's Imports tool. Procore Support can also give you a directory import template.
- Spot-check a few companies before turning on the sync in Step 3.
Step 2: Add contact details (recommended)
Only the identifier is required, but these fields make onboarding much smoother once the supplier is in Breadcrumb:
- Email Address
- Primary Contact
- Business Phone
With these filled in, you can send onboarding emails to the supplier as soon as they sync, without having to look up their details.
Step 3: Check your integration settings in Breadcrumb
On web, open the Procore integration settings and check the following:
| Setting | What it does | Recommended |
|---|---|---|
| Directory Sync | Sets which system is the source of truth for companies | One-way, with Procore as the primary system |
| Company Unique Identifier | The number used to match companies | Business / License Number |
| Import Company Directory | Brings your Procore Company Directory into your Supplier Directory | On |
| Import Project Directory | Brings each project's companies into that site's suppliers | On |
| Enable Company Edits | Keeps company details up to date when they change in Procore | On |
Thinking of using Vendor ID as the identifier? Vendor IDs can't be edited, and choosing this option brings every company in your Procore account across to Breadcrumb. Talk to your Customer Success Manager first.
Step 4: Add subcontractors to the project in Procore
A company in your Company Directory will appear in your Breadcrumb Supplier Directory, but it won't appear on a site until it's also in that project's directory.
- In Procore, open the project.
- Add the subcontractor to the Project Directory.
Once synced, the supplier appears on the matching Breadcrumb site. Workers can then select that company when they check in.
Tip: Set up subcontractors in Procore before work starts on site. If a worker checks in under a company that isn't on the site, their hours are recorded as a visitor in Procore rather than against the subcontractor.
Step 5: Let the sync run
New and updated companies usually come through within 2 to 3 hours. Synced suppliers show a Procore logo in Breadcrumb.
If you don't want to wait for the next scheduled sync, an admin can click Sync As Soon As Possible on the Procore integration settings page. This queues the change for the next sync run.
Company not coming through?
Check in Procore
- Does the company have an ABN or License Number?
- Is that number unique, with no other company in your directory using it?
- If it should be on a site, has it been added to that project's Project Directory?
Check in Breadcrumb
- Is another supplier in your Supplier Directory already using the same ABN or License Number? This includes inactive suppliers.
- Are Import Company Directory and Import Project Directory still turned on?
- Click the Procore logo against the supplier to check it's linked with the right number.
Still stuck after 3 hours? Contact our Support team with the company name, its ABN or License Number, and the site it should appear on, and we'll take a look.
