How do I submit a new briefing for my site in the web portal (e.g. pre-start or toolbox)?

You can now write and submit site briefings, like daily pre-starts and toolbox talks, from the web portal.

Set up tomorrow's briefing at your desk, save it as a draft and come back to it, then publish it straight away or schedule it for later. Once a briefing is live, workers on your site are prompted to sign that they've acknowledged it, and you can see how many have signed from the Briefings tab.

Before you start

  • You need to be a host on the site. Briefings are submitted by site hosts.
  • Your briefing templates need to be set up already. You'll start each briefing from a saved template (for example, Daily Pre-Start or Toolbox Talk) or by copying a recent briefing. Templates can't be created or edited from this screen, so talk to your Breadcrumb admin if the one you need is missing.
  • Scheduling depends on the template. The Schedule for later option only appears if Allow Scheduling is ticked in that briefing form's settings.

Step-By-Step

Start a new briefing

  1. Go to Sites and open the site you want to brief.
  2. Select the Briefings tab.
  3. Click New Briefing.
  4. Choose how to start:
    • Copy a recent briefing to reuse the content from one you've already run, then update what's changed.
    • Start from a saved template to begin with a fresh form. Each template shows its name and when it was last updated.

If this is the site's first briefing, you'll only see templates to choose from. The copy option appears once you've run a briefing.

Fill out the briefing

The briefing opens on a single screen. The fields depend on your template, but usually cover things like weather, the day's activities, whether any high-risk work or permits are involved, and any notes for the crew. You can also attach files, such as a SWMS or a site plan.

You can click Save as draft at the top of the screen at any time. Your draft keeps everything you've entered, and you can reopen it from the Briefings tab to finish it later.

Publish now or schedule for later

When the briefing's ready, click Publish or schedule at the top of the screen, then choose one of these options.

Publish now

The briefing goes live straight away. Workers on site are prompted to sign it, and anyone who checks in while the briefing is active will be asked to sign it as part of their check-in.

Schedule for later

Use this to get ahead, for example by setting up Monday's toolbox talk on Friday afternoon.

  1. Set the Active from date and time. This is when the briefing goes live.
  2. Set the Active until date and time. This is when it stops being active.
  3. Choose a Repeat setting: Once, Every weekday or Custom.
  4. Confirm the schedule. The briefing shows as Scheduled in the Briefings tab until it goes live.

Each site can hold one draft at a time

Scheduled briefings are stored as drafts, and a site can only have one draft at a time. That means saving a new draft will replace a briefing that's already scheduled. You'll see a warning on screen before this happens, so check the Briefings tab before you start a new draft if someone else on your team schedules briefings too.

Find and manage your briefings

The Briefings tab lists every active, scheduled and draft briefing for the site. You can search and filter the list to find a particular briefing. For each briefing you'll also see:

  • Acknowledgements: how many of the expected workers have signed the briefing, out of the total.
  • Auto-Renew tag: shown on briefings that are already set up to renew automatically.
  • Procore indicator: shown on briefings that sync with Procore.

To finish a draft, open it from the list. To make changes to a briefing that's already published, open it and you'll land on the same edit screen, pre-filled with its content. From there you can save it as a draft, publish it now or schedule it for later, just like a new briefing.

What you can't do from this screen yet

  • Create or edit briefing templates.
  • Turn Auto-Renew on or set how long a briefing stays valid. The tag shows where it's already set up, but it can't be changed here.
  • Delete or reschedule several briefings at once.
  • See briefings across all your sites in one list. The Briefings tab covers one site at a time.

Briefings submitted on web work exactly the same way on the mobile app, so your workers won't notice any difference.
