How do I schedule an automated email report of all check-ins?

Setting up a recurring check-in report to be emailed automatically.

If you pull the same check-in report every week or month, you can have Breadcrumb email it to you automatically instead. Set up the Activity Report once with the filters you need, save it as a scheduled report, and it'll arrive in your inbox as a CSV on the schedule you choose.

Before you start

  • Access: you'll need Company Host or Site Host permissions with View Reports turned on. If you can't see Reports, ask your Breadcrumb admin.
  • Web only: scheduled reports are set up on web. They can't be created in the mobile app.
  • Activity Report only: scheduling is available for the Activity Report, which holds your check-in records. Other reports can't be scheduled yet.

Step 1: Set up the report

  1. On web, go to Reports and select Activity Report.
  2. Apply the filters you want in every email, for example a specific site, company or visitor type.

Leave the filters broad if you want every check-in. The schedule uses whatever filters are applied when you save it.

Step 2: Save it as a scheduled report

  1. Click Save As Scheduled Report.
  2. Fill in the details:
    • Email Subject: the subject line for the email, for example "Weekly check-ins: Smith St site".
    • Recipients: the email addresses that should receive the report. You can add people other than yourself.
    • Report Period: how often it's sent: Daily, Weekly or Monthly.
    • Report Time: the time of day it's sent.
  3. Click Save Report Schedule.

The report will now be emailed to everyone on the list at the time you chose.

Step 3: Manage your scheduled reports

To see the schedules you've set up, go to Reports and select My Scheduled Reports.

Stop a scheduled report

  1. Find the report in My Scheduled Reports.
  2. Click the red delete button and confirm.

To change the filters, recipients or timing, delete the old schedule and save a new one from Step 1.

Good to know

  • Only you can see your schedules. My Scheduled Reports shows the reports you created. If someone else set up a report that's sent to you, ask them to remove you, or contact our Support team.
  • Getting a report you didn't set up? A colleague has most likely added your email as a recipient. Ask your team who created it so they can remove you.
  • Large reports take longer. A schedule with very broad filters across many sites may take a while to generate. Narrow the filters if you only need part of the data.
