How do I report on permit applications?

Reporting on permit activity and status across a site.

The Permits register keeps every permit submitted on your sites in one place, whatever its type or status. Use it to see which permits are waiting for approval, what work is underway right now, and which permits have expired without being closed.

Before you start

  • Access: you'll need Company Host or Site Host permissions. Company Hosts can see permits across all sites. Site Hosts can see permits for the sites they host.
  • Web only: the register is available on web. Closing a permit is done in the mobile app.

Open the Permits register

Across all your sites

  1. On web, select Registers from the main menu.
  2. Choose Permits.

For one site

  1. Open the site.
  2. Go to its Permits tab.

What the register shows

Each row is one permit, with its type, start and end dates, site, company, status, validity, who submitted it and when.

Status

  • Pending: submitted and waiting for a host to approve or reject.
  • Open: approved, and work can go ahead.
  • On Hold: approved but not started yet, or work has been paused.
  • Closed: work is finished and the permit has been closed out.
  • Rejected: not approved. The worker needs to submit a new permit.

Whether an approved permit goes to Open or On Hold depends on how the permit is set up.

Validity

A permit is Valid while it's within its start and end dates. It shows as Expired once the end date has passed and it still hasn't been closed. Expired permits are worth checking regularly, as they usually mean someone forgot to close one out.

Filter the register

Use the status tiles across the top for a quick view of permits in each status. For example, click the pending tile to see everything waiting for approval.

For more detail, use the dropdown filters:

  • Search
  • Type: for example, hot works or working at heights.
  • Site: one or more sites (all-sites view only).
  • Status
  • Date range

You can combine filters, for example all hot works permits on one site last month.

Review pending permits

  1. Click a pending permit to open it.
  2. Click Review Now.
  3. Choose Accept or Reject.

Accepted permits move to Open or On Hold. Rejected permits are finished, and the worker will need to submit a new one.

Download a permit

Click a permit to open the full record, including every stage it's been through, such as opening, pausing and closing. You can download it as a PDF from there for your records. If your sites are connected to Procore, the record also links to the matching document in Procore.

Good to know

  • On Hold covers two situations. It can mean work hasn't started yet, or that work was paused. Open the permit to see which.
  • Closing permits happens on site. There's no close button on web. Permits are closed in the mobile app so the person closing can capture evidence of site conditions.
  • Exporting the full register as a spreadsheet isn't available yet. Filter on screen and download individual permits as PDFs. If you need a full export, contact our Support team.
