How do I manually force the Procore integration to re-sync?

Triggering an on-demand sync if data looks out of date between the two systems.

The Procore integration syncs on a schedule, so a change you've just made in Procore or Breadcrumb won't always show up straight away. If you don't want to wait for the next scheduled sync, you can push it to the front of the queue.

Before you start

  • Access: you'll need admin access in Breadcrumb to open the Procore integration settings.
  • Give it time first: check the usual sync times below. If the change was made recently, it may simply not have synced yet.

How long syncing usually takes

  • Companies: usually within 15 minutes to a few hours.
  • Projects, suppliers and project team: usually within 2 to 3 hours.
  • Check-in hours to the Procore Site Diary: usually within 1 to 2 hours.
  • Documents (inductions, SWMS, forms, permits and supplier documents): once a day, overnight, at around 5 to 6am. Large uploads can take until the following day.

These are typical times, not guarantees. Syncs can take longer when there's a lot of data or a lot of activity across your projects.

Trigger a sync

  1. On web, click the dropdown next to your name and select Integrations.
  2. Open Procore Integration.
  3. Click Sync As Soon As Possible.

What this does

Clicking Sync As Soon As Possible doesn't sync your data instantly. It clears out any stored data from the last sync and marks everything to be picked up fresh on the next sync run.

A sync run is always in progress in the background, but one run can take an hour or more to finish. So after clicking the button, allow up to a couple of hours for changes to appear. Clicking it more than once won't make it go any faster.

If a sync doesn't fix it

Most sync problems come from missing or mismatched details rather than timing. Forcing a sync won't fix these, so check them before contacting us.

A project hasn't come across

  • Does it have a unique Project Number, a valid address and a future Completion Date in Procore?
  • Has it been added to the 1breadcrumb-dmsa-786bba23 user in Company Tools > Directory in Procore?

A company or supplier hasn't come across

  • Does it have a unique ABN or License Number in your Procore Company Directory?
  • Is another supplier in Breadcrumb already using the same number?
  • If it should be on a site, has it been added to that project's Project Directory in Procore?

A person hasn't come across

  • Are they in the Project Directory with a Project Role?
  • Does their mobile number in Procore match the one they use for Breadcrumb?

Hours are missing from the Site Diary

  • Was the Site Diary closed before the hours synced? Hours can only sync to a closed diary on version 2.3.0 of the integration.
  • Are any custom fields in your Procore Site Diary set to required? Required fields stop the sync, so set them to optional.
  • Did workers check in under a company that's on the site? Workers who don't select a company are recorded as visitors.

Check Permissions

On the Procore Integration page in Breadcrumb, click Check Permissions to see whether your projects, companies and documents are connected. Green ticks mean everything is connected. A red cross shows which part needs attention, and linked projects show a paperclip icon next to their name.
