How do I give my project team from Procore access to Breadcrumb?
Granting Breadcrumb access to users already set up on the Procore project.
If your project team is already set up in Procore, you don't need to add them to Breadcrumb one by one. Once the Procore integration is connected, everyone on a Procore project with a project role syncs into the matching Breadcrumb site as a site host.
This article covers what each person needs in Procore, how to control what they can do in Breadcrumb, and what to check if someone doesn't come through.
Before you start
- Procore integration: the integration must already be connected, with the project syncing to a Breadcrumb site.
- Import Project User Roles: this setting must be turned on in your Breadcrumb Procore integration settings.
- Access: you'll need admin access in Procore to edit the Project Directory, and admin access in Breadcrumb to set up role permissions.
Step 1: Check each person's details in Procore
Breadcrumb uses a person's mobile number as their login, so the details in Procore need to be complete and accurate. For each team member, make sure:
- They're in the Project Directory. Add them to the project in Procore if they aren't already.
- They have a Project Role. Assign a role such as Site Manager or Project Manager. People without a project role won't sync.
- Their mobile number is correct. Select the right country code and enter the same mobile number they use (or will use) to sign in to Breadcrumb.
- Is an Employee is ticked for your own staff. This tells Breadcrumb to treat their check-ins as employee hours.
Tip: Mobile number mismatches are the most common reason a person doesn't sync. If someone has changed phones, update the number in Procore first.
Step 2: Set permissions for each role in Breadcrumb
Only the role name syncs from Procore. What that role can do in Breadcrumb is set in Breadcrumb, so each synced role needs a permissions template.
- On web, go to the role permission settings for your company.
- Find the role that synced from Procore.
- Set the permissions people in that role need, for example approving supplier documents or managing site briefings.
- Save.
If a Procore role shouldn't have access to Breadcrumb at all (for example, external consultants or architects), leave its permissions blank. People with that role will sync but won't be able to log in.
Tip: Set up role permissions before you link roles to supplier document workflows, so approvals go to the right people from day one.
Step 3: Let the sync run
Project team changes usually come through within 2 to 3 hours. Once synced, each person appears on the site as a site host with the permissions of their role.
Synced users and sites show a Procore logo in Breadcrumb, so you can tell what came from Procore and what was added manually.
If you've just made a change and don't want to wait for the next scheduled sync, an admin can click Sync As Soon As Possible on the Procore integration settings page. This queues the change for the next sync run.
Removing someone from a project
When a site host who synced from Procore is removed from the project in Procore, they're removed as a site host in Breadcrumb on the next sync.
Company hosts are managed in Breadcrumb, not Procore. If a company host leaves, remove them in Breadcrumb directly.
Someone isn't coming through?
Check in Procore
- Are they in the Project Directory for this project?
- Do they have a Project Role?
- Is their mobile number correct, with the right country code, and the same one they use for Breadcrumb?
- Is Is an Employee ticked, if they're one of your staff?
Check in Breadcrumb
- Has the site synced from Procore? Look for the Procore logo against the site.
- Is anyone else in your directory using the same mobile number? Duplicate numbers stop the sync matching the right person.
- Does their role have permissions set? Without them, the person will sync but can't do anything.
