How do I give my project team from AutoDesk access to Breadcrumb?
Granting Breadcrumb access to users already set up in Autodesk.
Once your Autodesk Forma (formerly Autodesk Construction Cloud) account is connected to Breadcrumb, you manage your project team's access from Autodesk. You don't need to set them up again in Breadcrumb. When someone on the team meets the conditions below, they sync into Breadcrumb as a Site Host for that project's site.
Site Hosts manage workers, documents and site activity in Breadcrumb. What each Site Host can do is controlled by their role, which you set up in Breadcrumb.
Who syncs as a Site Host
A team member syncs to Breadcrumb when all of these are true:
- They are a member of a connected project. The project must already be syncing with Breadcrumb, which means Breadcrumb Dev is one of its project members.
- Their access level is Project Administrator, with access to Build. Members set to Project Member do not sync.
- They have a phone number in Autodesk. Autodesk does not let admins add a phone number for someone else, so each person has to add their own.
- Their role is selected, if you use Sync Users by Roles. If this setting is turned on in Breadcrumb, only members with one of the selected roles will sync.
If your Autodesk account isn't connected yet, start with the initial Autodesk integration setup guide.
Step 1: Check the role in Autodesk
Who: your Autodesk admin
- In Autodesk, go to Hub Admin > Roles.
- Open the role your team member will have, for example Project Manager or Site Manager. You can also click Add role to create one.
- Make sure the role has:
- Default access level: Project Administrator
- Product access: Build
- Save the role.
Step 2: Ask your team member to add their phone number
Who: the team member
Ask each person to log in to Autodesk and add a phone number to their own profile. Without one, they will not sync to Breadcrumb, even if everything else is set up correctly.
Step 3: Add them to the project in Autodesk
Who: your Autodesk admin
- Open the project in Autodesk and go to Project Admin > Members.
- Click Add members and select the person.
- Assign them the role from Step 1, and check their access level is Project Administrator with access to Build.
- Save.
If the person is already a project member, edit their membership instead and check the same settings.
Step 4: Check your Sync Users by Roles setting
Who: your Breadcrumb company admin or your CSM
Sync Users by Roles lets you choose which Autodesk roles become Site Hosts. It is useful for keeping external members, such as subcontractors or architects, out of your Site Host list.
- In Breadcrumb, go to Integrations and open your Autodesk integration settings.
- Find Sync Users by Roles.
- If it is turned on, make sure your team member's role is selected in the dropdown. If the dropdown is empty, all roles sync.
- Save any changes.
If someone has more than one role, they will sync as long as one of their roles is selected.
Step 5: Set what each role can do in Breadcrumb
Who: your Breadcrumb company admin
Roles come across from Autodesk, but what a role can do in Breadcrumb is set in Breadcrumb.
- Go to Company Settings and open the Permissions Settings tab.
- Set Permission Mode to Roles Only and click Update.
- Open the Role Definition tab and adjust the permissions for each role.
A role only appears in Breadcrumb once a team member with that role has synced. If you can't see a role yet, finish Steps 1 to 4 for at least one person with that role, then check again.
Check it worked
Open the site in Breadcrumb and check your team member is listed as a Site Host. Changes in Autodesk come across on the next sync, so allow a little time before you troubleshoot.
Troubleshooting
A team member hasn't come across
- They don't have a phone number in Autodesk. They need to log in and add it themselves.
- Their access level on the project is Project Member rather than Project Administrator, or their role doesn't include Build.
- Sync Users by Roles is turned on and their role isn't selected.
- The project isn't connected to Breadcrumb. Check that Breadcrumb Dev is a member of the project in Autodesk.
A role isn't showing in Breadcrumb
- No team member with that role has synced yet. Roles only come across with a synced member who has that role and a phone number.
- The role is missing Project Administrator access or Build access in Autodesk.
- Sync Users by Roles is turned on and the role isn't selected.
People from other companies are showing up as Site Hosts
External members with Project Administrator access will sync unless you filter them out. Turn on Sync Users by Roles and select only your internal roles (Step 4).
