How do I edit the onboarding email templates?
Customizing the wording of the automated emails sent to companies during onboarding.
When you invite a subcontractor or supplier to onboard, Breadcrumb sends them an email asking them to upload their documents, like their SWMS. You can change the wording of this email so it sounds like your company and tells subcontractors exactly what you need from them.
This article shows you how to update the default email, and how to change it for a single invitation.
Before you start
- You need Company Host or Site Host permissions with Announcement access. If you don't have this, ask your Breadcrumb administrator.
- You can only edit the email on web. It isn't available in the mobile app.
Update the default email
Changes here apply to every onboarding email you send from now on.
- Select your name or company name in the top right of the page, then select Company Settings.
- Open the Suppliers tab.
- Scroll to Supplier document request email content.
- Edit the email and format it however you like.
- Scroll to the bottom and select the blue Save button.
Keep the placeholders
Words in square brackets, like [SiteName] and [UploadLink], are placeholders. Breadcrumb swaps them for the real site name and the subcontractor's upload link when the email is sent.
Don't delete or change them. Without [UploadLink], subcontractors won't have a link to upload their documents.
Tips for a good onboarding email
- List every document you need, for example SWMS, SDS and insurances, so subcontractors upload everything first time.
- Ask them to have their workers complete any off-site inductions before arriving on site.
- Add a contact name and number for questions.
Change the email for one invitation
You can also edit the email each time you send an invitation, without changing the default. When you send a Quick Onboarding invitation, the email is filled in from your default, and you can change the wording before you select Send Email. See Send a Quick Onboarding invitation to suppliers.
