How do I create an email alert for submitted forms?

Setting up an automatic email notification whenever a specific form is submitted.

Some forms need attention as soon as they come in, like a hazard report or a plant registration. An email alert lets the right people know straight away, without having to keep checking Breadcrumb.

This article shows you how to set up an email that's sent automatically whenever a form is submitted.

Before you start

1. Open the alert settings

  1. Select Editor in the left-hand menu, then select Forms.
  2. Select the settings button next to the form you want alerts for.

2. Choose which sites the alert covers

  • Company: sends an alert when the form is submitted on any of your sites.
  • Site: sends an alert only when the form is submitted on one site. Choose the site from the dropdown.

Then set Trigger Type to Form and select Add global trigger to company.

3. Set up the alert

  • Trigger: select When a user submits a form.
  • Action: select Send an Email.
  • Forms: choose Specific Form and pick the form from the dropdown, or choose Any Form to get alerts for every form.
  • Form Type (only if you chose Any Form): narrow alerts to one type of form, for example Asset Registration.
  • Email Subject: enter the subject line recipients will see, for example "New hazard report submitted".
  • Recipients: choose Company Supervisor, Site Supervisor, or enter the people who should get the email.

4. Save

Select Save Changes.

Need alerts for more than one site?

A site alert only covers one site. To set up alerts for several specific sites, repeat these steps for each one. If you want alerts from every site, choose Company in step 2 instead.
