How do I create a site briefing form?

Building the form used to record and distribute a site briefing, such as a prestart or toolbox talk, for workers to sign onto.

Site briefings are how your site team shares toolbox talks, daily prestarts, Take 5s and other updates with everyone on site. Your Site Manager fills in the briefing in the mobile app, and workers sign onto it when they arrive.

Before your site team can run a briefing, you need to set up the form they'll use. This article shows you how.

How site briefings work

  1. You create the site briefing form on web. This is the template your site team fills in.
  2. Your Site Manager completes the form in the mobile app and sets how long it's valid for.
  3. Workers on site are alerted to sign the briefing. Anyone who checks in while it's active is asked to sign it too.

Before you start

  • You need Company Host permissions. If you don't have them, ask your Breadcrumb administrator.
  • You can only create site briefing forms on web. It isn't available in the mobile app.

Create the form

  1. Select Editor in the left-hand menu, then select Forms.
  2. Select New Form on the right-hand side.

Set up the form

Basic details

  • Form Title: the form's name, for example Daily Prestart.
  • Button Title: the name your site team sees in the mobile app.
  • Form Type: select Site Briefing.
  • Status: set to Active to make the form available on your sites. Set it to Inactive if you're not ready to use it yet.
  • Form Group (optional): group related site briefing forms together in the mobile app.

Which sites it's for

Under What sites does this apply to?, choose:

  • Automatically add to all sites: the form appears on every site.
  • Manually add to specific sites: you choose which sites the form appears on.

How long a briefing lasts

Use Default Expiry to set how long each briefing stays active once it's submitted:

  • No expiry: the Site Manager enters an expiry date each time they submit.
  • End of the day: expires at 11:59 pm on the day it's submitted.
  • End of the week: expires at 11:59 pm on the last day of the week.
  • End of the month: expires at 11:59 pm on the last day of the month.

Turn on Auto Renew if you want a new briefing with the same content to start automatically when the current one expires. This suits briefings that don't change often.

Signing

Use Sign-Off to choose whether workers have to sign:

  • Optional: workers can sign, but don't have to.
  • Mandatory: workers must sign after reading the briefing.

Add your content

  • + Add Questions: add the questions your Site Manager fills in, like today's tasks, hazards and controls. You can add existing questions or create new ones.
  • + Add Announcements: add existing announcements, like a safety video or document.

Preview and save

  1. Select Show Preview to check the form looks right.
  2. Select Submit to save it.
