How do I create a permit on behalf of a worker?
Manually issuing a permit for a worker who is unable to submit their own request.
Most permits are submitted by workers from the Breadcrumb app. Sometimes a worker can't do this themselves, for example if they don't have a phone with them, can't access the app, or need help completing the form.
In these cases, a Site Manager can create the permit on the worker's behalf from the web portal. The permit is recorded against the worker and their company, and then follows the same approval, open, on-hold and close steps as any other permit.
Before you start
- You need Site Host or Company Host permissions for the site. If you don't have these, contact your Breadcrumb administrator.
- The permit type must be added to the site. Permits are added under Sites > Manage Site > Permits.
- The worker must already have a Breadcrumb profile for the site.
- Have the worker's details to hand, including the planned start and finish times and any licences or competencies the permit asks for.
Create the permit (Web Portal)
- Log in to the web portal
- Select Suppliers for the chosen site
- Click View for Permits
- Click on the + Apply for a New Permit button and select a Permit Form
- Complete the Mandatory fields in the Permit Form, including:
- Submit for: Identify whether you are applying for this Permit for just yourself, or on behalf of your company.
- Permit Period: Identify how long you want this Permit to be active.
- According to Schedule: Identify at what specific time of day you want to be able to use this Permit.
- Once you have filled out all required fields, click Submit
Create the permit (Mobile App)
- Log in to the app (You'll need to make sure you are checked in onto site)
- Open the Permits tab
- Click New Permit
- Choose the permit type, for example Hot Work.
- Select the worker you're submitting the permit for. If asked, select the company they work for.
- Set the permit period. This option only shows if the permit allows a schedule to be set.
- Answer the permit questions and upload any required documents, such as licences or a SWMS.
- Click Submit
Go through the answers with the worker before you submit. You're completing the permit for them, so they should agree with what has been recorded.
What happens next
Approval
The permit goes to Approvals like any other permit request.
To approve it, click Approvals in the left-hand menu, find the permit and click Review. Check the content and the permit period, add any comments, then click Approve or Reject.
Open, on hold and close
Once approved, the worker can see the permit in the Permits tile in the Breadcrumb app. From there they can open the permit when work starts and place it on hold when work stops, the same as a permit they submitted themselves. The Site Manager closes the permit once the work is complete.
If the worker can't access the app at all, a Site Manager can also move the permit between stages.
Fixing an existing permit instead
If the worker has already submitted a permit and only something small needs changing, such as the permit period, you don't need to create a new one. Open the permit from Approvals, click Review, then click Edit to update it before approving.
