How do I archive an old document (e.g. SWMS or SDS)?

Removing a superseded document from active use.

If your crew is still being asked to sign an old SWMS, or an outdated SDS is still showing on site, archive it. Archiving takes the document out of use on that site so workers only see your current documents. The old version is kept for your records.

Before you start

  • Your upload link: You'll need the document upload link from the head contractor's onboarding email for that site. If you can't find it, ask the site team to send it again.
  • One site at a time: Documents are uploaded per site, so archive the old document on each site where it's no longer needed.

Replacing a document with a new version

If you're replacing an old SWMS or SDS with an updated one, upload the new version for the same document type. The new version goes to the head contractor for review, and the old version moves to your archive once the new one replaces it.

  1. Open the upload link from the head contractor's email.
  2. Go to the Supplier Documents tab.
  3. Upload the new version of the document and click Submit.

Your crew can only sign the new version once the head contractor has approved it.

Archiving a document you no longer need

If a document isn't being replaced, for example your work on that site has finished or a document was uploaded by mistake, archive it.

  1. Open the upload link from the head contractor's email.
  2. Scroll to your uploaded documents.
  3. Tick the box next to each document you want to archive.
  4. Click Archive File, then confirm.

What archiving does

  • On site: Workers can no longer see the document and won't be asked to sign it.
  • Your records: The document and its history are kept, and you can still view and download it from the archive.

Can't archive a document?

If you can't see the option to archive, contact the head contractor's site team and ask them to archive it for you. Site hosts can archive documents on your company's behalf.
