How do I archive a document (e.g. SWMS or SDS)?
Retiring an expired or superseded document from active use.
When a SWMS, SDS or other subcontractor document is no longer needed on site, archive it. This takes it out of active use so workers aren't asked to view or sign an out-of-date document, while keeping the record and its history for future reference.
Common reasons to archive a document:
- The subcontractor has finished their work on site.
- A newer version has replaced it.
- It was uploaded by mistake or under the wrong subcontractor.
Before you start
You need to be a Company Host or Site Host with Supplier Management permissions. If you don't have access, contact your Breadcrumb administrator.
Archive a document on web
- Click Sites in the left-hand menu and open your site.
- Click the Company Docs tab.
- Search or filter to find the document.
- Click the three-dot menu (⋯) at the end of the document's row.
- Click Archive, then confirm.
The document disappears from the active list straight away.
What archiving does
- Workers: Can no longer see the document on site and won't be asked to sign it at check-in.
- History: The document and its history are kept, so you can still find it later.
- Pending documents: If you archive a document that hasn't been reviewed yet, it's removed from your approvals list.
View or restore an archived document
- On the site's Company Docs tab, turn on the toggle to show archived documents.
- Find the document and click the three-dot menu (⋯) at the end of its row.
- Click Unarchive, then confirm.
Good to know
- Expired documents: Documents with an expiry date, such as SDS and insurance, become inactive automatically when they expire. You don't need to archive them, but you can if you want them out of the active list.
- Mobile app: Archiving isn't available in the mobile app. Use the web portal.
- Archiving a whole subcontractor: If a subcontractor has left the site entirely, you can archive the company from the site's Companies tab instead.
