How do hours push into Procore’s site diary?
Explains how check-in and check-out data recorded in Breadcrumb is reflected in Procore's Site Diary tool.
When Breadcrumb is connected to Procore, the hours your workers spend on site are sent to the Site Diary in the matching Procore project. Each time someone checks in and out with Breadcrumb, their time on site is recorded in Procore, so you don't need to enter attendance by hand.
Where hours go in the Site Diary
Breadcrumb can send hours to three logs in the Procore Site Diary:
- Manpower Log: Hours for subcontractor workers, and your own employees if you choose.
- Timecards: Hours for your own employees. Only used if your company uses Procore Timecards.
- Visitor Log: Hours for visitors, and anyone who can't be matched to a subcontractor or employee.
Which log a person's hours land in depends on who they are matched to in Procore, and on your integration settings.
How Breadcrumb decides who is who
Employees
A person is treated as one of your employees when, in Procore:
- They're ticked as an employee of your company.
- Their mobile number, including the country code, matches the number they use in Breadcrumb.
Subcontractor workers
A person is treated as a subcontractor worker when:
- They selected their company when they did their induction in Breadcrumb.
- That company is in the Procore project's directory.
- That company has an ABN in Procore.
Visitors
Anyone who doesn't meet the employee or subcontractor rules is treated as a visitor. For example, someone who didn't select a company, or whose company isn't in the Procore project's directory.
When hours are sent
This depends on the Sync Incomplete setting for each log:
- On: Hours are updated every 10 to 15 minutes throughout the day, including for people who are still on site.
- Off: Hours are only sent at the end of the day.
Choose how hours are sent
You need Company Host permissions to change these settings.
- Log in to Breadcrumb on web.
- Click your name in the top right corner and select Integrations.
- Open the Procore Integration tab and scroll to Export Checkins As.
- Choose an option for each log (see below).
- Click Save Changes.
Timecard (Employees Only)
- Disabled: No hours are sent to Timecards.
- Employees Only: Your employees' hours are sent to Timecards.
Manpower Log
- Disabled: No hours are sent to the Manpower Log.
- Everyone: Hours for everyone.
- Everyone Except Employees: Hours for subcontractor workers and visitors.
- Subcontractors Only: Hours for subcontractor workers only.
- Aggregated for Subcontractors: Subcontractor hours, grouped into one entry per company.
- Aggregated for Subcontractors and Employees: Subcontractor and employee hours, grouped into one entry per company.
Visitor Log
- Disabled: No hours are sent to the Visitor Log.
- Everyone: Hours for everyone.
- Everyone Except Employees: Hours for subcontractor workers and visitors.
- Everyone Except Subcontractors and Employees: Hours for visitors only.
Descriptions
You can also turn on Include Timecard Description, Include Manpower Log Description and Include Visitor Log Description. These add worker details, such as mobile numbers, to the comments in Procore.
Our recommended settings
Most head contractors use:
- Timecard: Disabled, unless you use Procore Timecards for your employees.
- Manpower Log: Aggregated for Subcontractors and Employees, with Sync Incomplete on.
- Visitor Log: Everyone Except Subcontractors and Employees, with Sync Incomplete on.
- Descriptions: Off, unless you need worker details in Procore.
Choosing these options means each person's hours are only counted once.
Good to know
- Employees showing as visitors? Check they're ticked as an employee in Procore and that their mobile number matches in both systems.
- Subcontractor hours missing? Check the company is in the Procore project's directory with an ABN, and that workers are checking in under the right company.
- Mandatory Site Diary fields: If your Site Diary has custom fields set as mandatory, Breadcrumb can't add hours to it. Make sure these fields are optional in Procore.
- Edits in Procore: If someone edits a Site Diary entry in Procore before the day's hours have finished syncing, the totals may not match Breadcrumb.
