Can I create a site in Breadcrumb and ink it to a Procore Project later?

Whether a site can be created independently in Breadcrumb and connected to a Procore project afterwards.

Yes. You can create a site in Breadcrumb first and link it to a Procore project later. Breadcrumb links them when the site's Site Reference matches the Procore Project Number.

Usually, you create the project in Procore and the integration creates the site in Breadcrumb for you. Creating the site in Breadcrumb first is useful when you need to start inductions or collect SWMS before the Procore project is ready.

Before you start

  • Breadcrumb permissions: Company Host, or Site Host with the Manage Site permission.
  • Procore permissions: Admin access to the project.
  • The Procore integration is set up for your company.

Step 1: Check the Procore project is ready to sync

In Procore, open the project, go to Project Tools > Admin and check it has:

  • Project Number: unique to this project
  • Address: a real address, including latitude and longitude
  • Completion Date: a date in the future

Copy the Project Number. You need it in the next step.

Step 2: Add the Project Number to your Breadcrumb site

  1. On web, go to Sites and find your site.
  2. Select Manage Site.
  3. Expand Project Settings and find the Site Reference field.
  4. Paste the Procore Project Number. It must match exactly.
  5. Select Submit Changes.

Step 3: Check the link

Once the next sync has run, go to Integrations > Check Permissions in Breadcrumb. The project should show in the list with a paperclip icon next to its name, which means it is linked.

Sites created in Breadcrumb first may not show the Procore logo, even when they are linked. Check Permissions is the most reliable way to confirm.

If the site does not link

  • Check the numbers match exactly. Extra spaces or a different format will stop the match.
  • Check the project is added to the Breadcrumb integration. In Procore, go to Company Tools > Directory and open the user 1breadcrumb-dmsa-786bba23. Make sure your project is in its list of projects. Do not delete this user.
  • Check for a duplicate site. If another Breadcrumb site already uses that Site Reference, or the project synced across before you added the number, you may have two sites.

Do not change the Project Number later

Once the site and project are linked, keep the Project Number and Site Reference the same. If either one changes, Breadcrumb treats the project as new and creates a second site. Data on the two sites cannot be merged, so workers would need to complete their inductions again on the correct site.

If you need to change the number, update the Site Reference in Breadcrumb first, then change the Project Number in Procore to match.
